The Human Resources Office is responsible for developing and implementing programs and services to meet the human resource needs, the fringe benefit needs, and the payroll needs of the College. The Human Resource/Benefits Assistant provides administrative and technical assistance to the Human Resources Office and is primarily responsible for the maintenance of accurate and up-to-date personnel lists and records for all College employees and the distribution of appropriate information to departments and employees.

Characteristic Duties and Responsibilities:

Schedules and conducts sign-in of new employees as necessary, including, orientation for benefits enrollment and other related employment programs. Confirms new employees have completed Title IX and FERPA training.
Maintains an accurate system of updated employee records relating to fringe benefits and other personnel and payroll information. Obtains benefits enrollment and change information and records from employees, enters into data system, and forwards information to appropriate providers on a timely basis.
Assists employees with information and monitors employee use of FMLA according to college policy and state and federal regulation; communicates with and coordinates recording of FMLA use with payroll office and supervisors as appropriate.
Maintains records for Workers’ Compensation and OSHA reporting; obtains all accident information from injured employees, forwards all necessary reports and claims to the Workers’ Compensation insurance carrier, and coordinates collection of information and follow-up with departments for employee benefits and return to work.
Prepares and processes exits forms, COBRA, life, and LTD insurance continuation forms for departing employees. Forwards appropriate notices to other departments or individuals.
Acts as liaison between fringe benefit plan providers and Beloit College.
Assists with collection of annual employee performance reviews; sends notifications and records completed evaluations.
Coordinates annual fringe benefits open enrollment and collection of employee enrollment documents. Reviews and verifies employee benefit elections and changes. Enrolls, changes and terminates participants in all of the plans.
Communicates retirement plan eligibility; sends appropriate notification of enrollment information to employee; coordinates group and one-on-one retirement counseling sessions with a representative.
Assists with routine inquiries such as employment verification, benefit claims processing and other typical office matters, in line with written Beloit College policy.
Assists with the collection of data to prepare 5500’s; distributes required notices including Summary Annual Reports (SAR) regarding all health and welfare plans, etc.; assists in the completion of annual nondiscrimination testing reports and 5500.
Updates and maintains the Human Resources Moodle site and website.
In collaboration with the President’s Office, Communications & Marketing, and Staff Matters, coordinates the annual Employee/Staff Recognition celebration.
Coordinates annual flu shots with Beloit Health Systems.
Accurately prepares or produces letters, memos, reports, and other forms when necessary, including administrative forms such as requisitions, work requests. Assists with other human resources and payroll duties so as to provide backup for those positions when necessary.
Credentials and Experience:

High school diploma, Associate’s degree or some college preferred.
Experience planning, organizing, and prioritizing multiple tasks and projects simultaneously with frequent interruptions is required.
Proficiency with Microsoft Office software, Jenzabar, content management system to support web pages; ability to learn other software relevant to duties.
