Under the direction of the Chief Executive Officer provide a variety of office support services to ensure the smooth administrative functioning of Harlem Community Center. This role involves managing various administrative tasks, maintain confidentiality, and serving as a key point of contact between the CEO and the community.

Responsibilities

Communication

Handle incoming and outgoing communications on behalf of the CEO, including emails, phone calls, and correspondence.

Maintain a professional and organized email inbox.

Communicate with different people from all walks of life including board members, administrative staff, staff, other businesses, and organizations and, on occasion, parents/guardians.

Must be able to communicate clearly, ask questions to gain understanding and take the initiative to seek out information when needed.

Prepare agendas, take minutes, and distribute meeting materials for executive meetings.

Coordinate logistics for board meetings and professional development days.

Work Environment

Must be self-motived and organized individual that takes the initiative on day-to-day tasks and long-term projects. This individual must be willing to learn and adapt to changes relatively quickly. They must be able to commit long term to the Harlem Community Center as this role is expected to grow and develop. This individual must be capable of consistently working within a leadership team.

Work on own in an office or club setting. It is expected that this individual will travel between locations and will work with staff members as needed for training, presentations, etc. Other instances of travel may be necessary for special events, board meetings, and relevant trainings.

Documentation and Filing

Maintain and organize administrative documents and up to date based on legal requirements and organizational needs. Prepare and edit reports, presentations, and other materials as needed. Review current policy and procedures monthly and make any updates as needed.

Manage data through various data software and platforms for monthly reporting and grant purposes.
