Job Purpose:

The Pre-Admission Assistant is responsible for providing exceptional customer service to patients and family members during the registration and surgical process. The Pre-Admission Assistant is a resource to the pre-anesthesia RN’s and Business Office staff who are trained and assigned to assist in the pre-admission department.

 

Primary Duties and Responsibilities:

Patient Outreach:

• Contact patients within two days of receiving surgery order to welcome patient to OrthoIllinois ASCs.

• Review Exclusion criteria with patients and refer any concerns to the preadmission RN for evaluation.

• Assist patients with questions related to the health screening tool in Patient IQ or the preferred EMR system.

• Schedule appointments with the preadmission RN to complete all pre-surgery requirements.

Medical Records Management:

• Ensure all patient health histories are completed within 15 days of surgery, as applicable.

• Coordinate health screening appointments for pre-anesthesia RNs to review medical history with patients.

• Assist the pre-admission team with gathering history and physicals, preop testing, and communicating with patients about additional appointment needs.

• Review outstanding concerns, such as testing, H&Ps, and clearance requirements, and notify pre-admission RNs promptly.

Surgery Coordination:

• Prioritize add-on surgeries as needed.

• Acquire working knowledge of HST, Patient IQ, EPIC, ECW, and future EMR programs to perform job duties efficiently.

• Monitor pre-admission software to ensure patients have completed all required forms.

• Retrieve and prioritize phone messages throughout the business day.

Compliance and Patient Privacy:

• Adhere to all policies and procedures established by facility leadership and provide thorough patient instructions.

• Maintain patient privacy and comply with HIPAA regulations.

Education and Experience Requirements:

• High School Diploma or GED, required.

• Certified Nursing Assistant (CNA) or Certified Medical Assistant (CMA) with Orthopedic experience strongly preferred.

• Minimum of two years of scheduling experience in an ambulatory surgery center, acute-care hospital, or doctor’s office strongly preferred.

• Basic working knowledge of Microsoft and Google Suites.

• EMR experience and Medical Terminology familiarity preferred.

 

Environmental/Working Conditions:

Working environment is in an ambulatory surgery center setting.

 

Physical/Mental Demands:

• Sit, stand and walk for extended periods of time

• Requires lifting, carrying and/or moving objects in a manner consistent with most office environments (generally, no more than 10 pounds on a frequent basis and 20 pounds on an occasional basis)

• Possess full range of motion in shoulders and arms, including reaching above or below the shoulder

• Finger dexterity for typing on a keyboard and using a mouse for extended periods of time; ability to twist hands or wrists repetitively

• Good balance.

• Vision (e.g., depth perception, color vision, strong vision up close); hearing (e.g., high pitch sounds, soft or distant sounds)
