Provides executive secretarial support to the General Counsel for the Board of Education.   Performs duties which are non-repetitive and require analysis, judgment, and an in-depth knowledge of district and department policies.  Is highly confidential and discreet in dealing with all matters addressed through the legal office of the District.


DUTIES AND RESPONSIBILITIES:  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required. Ensures that all actions are in concert with the Board policies as well as the mission statement, beliefs, objectives and parameters found in the Board’s strategic plan.
Carries out such additional duties as required or as conditions necessitate.
Participates in job training and professional growth opportunities in order to enhance ability to perform the essential functions of the job.
Performs other related duties as assigned for the purpose of ensuring an efficient and effective work environment.
Transcribes dictation for a variety of correspondence, memoranda, minutes, reports and other material.
Under direction of the attorney and paralegal, prepares resolutions, pleadings, briefs, contracts, etc.
Maintains files for all lawsuits and claims involving the Board of Education and for all other issues involving the attorney’s office.
Applies information or explains interpretations concerning departmental or District policy, rules and regulations.
Greets, assists, and screens telephone calls and visitors.
Schedules meetings and appointments for administrators and maintains attorney’s calendar.
Creates flyers, District-wide announcements, and inter-office memorandums.
Processes office mail and routs to proper sources.
Makes travel arrangements for administrators.
Maintains inventories and ascertains needs for supplies and equipment.
Processes requisitions and purchase orders.
Reviews and dispatches emergency calls and messages as necessary.
Processes requests for reimbursement.
Assists outside counsel as necessary.
Maintains strict confidentiality with respect to information relating to the effectuation or review of the District’s collective bargaining practices.
Under direction of attorney and paralegal, schedules hearings and prepares board packets for expulsion/suspension hearings.
Assumes any other duties as may from time to time be delegated by attorney and paralegal.  Adjustments in the scope of responsibilities as outlined above may occur which will be in the best interests of the District.
All actions must be in concert with the mission statement, beliefs, objectives and parameters found in the strategic plan of the Rockford Board of Education.

High School diploma required with some college or professional business school training and previous public or private law office experience
Advanced skills in Microsoft Office programs.  Use of presentation packages and spreadsheets.  Excellent typing skills.  Ability to compose routine correspondence.
Must possess well-developed interpersonal skills and be able to function as member of an administrative team.  Confidentiality is a must.  Strong verbal and written communication skills.  On-line legal research ability.  Highly proficient organizational skills.  Multi-task oriented.  Well developed people skills.  Ability to function as a confidential member of the administrative team.

Moderate in-district travel as well as intermittent in-state and out-of-state travel.  Intermittent prolonged and irregular hours of work.
